Return Policy

This Return Policy sets out the cancellation, rescheduling, and refund terms for workplace wellness training products purchased from Washrefine through washrefine.world. It applies to the Posture & Movement Basics session (€890), Nutrition Awareness Workshop (€1,250), and Stress Recovery & Mindfulness Lab program (€1,650), as well as any custom bundled packages arranged with our team.
1. Nature of Our Products
Washrefine provides live training services and associated digital and printed materials rather than physical goods. Because our products involve scheduled sessions, trainer preparation, and reserved capacity, standard consumer return rights for physical products do not directly apply. Instead, the cancellation and refund terms below govern your booking.
2. Booking Confirmation
A booking is considered confirmed when you receive written confirmation from Washrefine specifying the program name, date, time, location (on-site, at our Amsterdam training space, or virtual), participant count, and total price. Confirmation may be sent by email to the address provided during inquiry. Payment terms, including deposit requirements, will be stated in the confirmation document.
3. Cancellation by the Client
If you need to cancel a confirmed booking, the following terms apply based on the notice period before the scheduled start date of the first session:
- More than 30 days before the first session: full refund of any amounts paid, minus a €50 administrative fee per booking.
- Between 15 and 30 days before the first session: 75% refund of amounts paid.
- Between 7 and 14 days before the first session: 50% refund of amounts paid.
- Less than 7 days before the first session: no refund, unless exceptional circumstances apply as determined by Washrefine at its discretion.
Cancellation requests must be submitted in writing to admin@washrefine.world and include your booking reference, organisation name, and reason for cancellation. The cancellation date is the date we receive your written request.
4. Rescheduling
We understand that organisational schedules change. You may reschedule a confirmed booking subject to the following conditions:
- Rescheduling requests made more than 14 days before the original session date incur no fee, subject to trainer availability.
- Rescheduling requests made between 7 and 14 days before the original session date incur a €75 rescheduling fee.
- Rescheduling requests made less than 7 days before the original session date are treated as cancellations under Section 3, followed by a new booking at current prices.
Each booking may be rescheduled once at no additional fee beyond any applicable rescheduling fee listed above. Further changes may require a new agreement. For multi-week programs such as the Stress Recovery & Mindfulness Lab, individual session rescheduling within the cohort may be accommodated where all participants agree and trainer availability permits.
5. Cancellation by Washrefine
In rare circumstances, Washrefine may need to cancel or postpone a session due to trainer illness, venue unavailability, extreme weather, or other events beyond our reasonable control. In such cases, we will:
- Notify you as soon as possible by email or phone.
- Offer to reschedule the session at no additional cost at the earliest mutually convenient date.
- Provide a full refund if rescheduling is not possible or not acceptable to you.
Washrefine shall not be liable for any indirect costs incurred by the client due to session cancellation, including travel or accommodation expenses, except where required by mandatory Dutch consumer law.
6. Partial Attendance and No-Shows
Training program fees cover the delivery of the complete session or program as described on habit-programs.html. Partial attendance by individual participants does not entitle the booking organisation to a partial refund. If the entire group fails to attend a confirmed session without prior cancellation notice, the session is considered delivered and no refund is issued. For multi-week cohort programs, missing individual weekly sessions does not reduce the program fee, though we may provide digital recap materials at our discretion.
7. Digital and Printed Materials
Printed habit trackers, digital recipe booklets, guided audio resources, and other materials provided as part of a training product are non-returnable once delivered or made accessible. If materials are defective or inaccessible due to a technical error on our part, contact admin@washrefine.world within 14 days of delivery and we will provide replacement materials at no charge.
8. Custom and Bundled Packages
Custom packages combining multiple Washrefine programs are subject to cancellation terms agreed in the specific proposal or contract. Unless otherwise stated in writing, the standard cancellation terms in Section 3 apply to the total package value, calculated from the date of the first scheduled session across all included programs.
9. Refund Processing
Approved refunds are processed within 14 business days of cancellation confirmation. Refunds are issued to the original payment method used for the booking. If the original payment method is no longer available, alternative arrangements will be made in consultation with the client. Refund amounts are calculated in euros and may be subject to bank processing times beyond our control.
10. Consumer Rights in the Netherlands
If you are a consumer as defined under Dutch law, you may have additional statutory rights that cannot be excluded by this policy. For services booked at a distance, the right of withdrawal under the Consumer Rights Directive may apply in certain circumstances. However, where you have expressly requested that Washrefine begin delivering the training service before the withdrawal period expires, and the service has been fully performed with your prior express consent, the right of withdrawal may not apply. Business-to-business bookings by organisations acting in a professional capacity are not subject to consumer withdrawal rights.
11. Disputes and Complaints
If you are dissatisfied with any aspect of a training product or believe you are entitled to a refund not addressed by this policy, contact us at admin@washrefine.world or +31653114629. We aim to resolve all complaints fairly and promptly. If we cannot reach a satisfactory resolution, you may seek mediation or refer the matter to the competent courts of Amsterdam, Netherlands, as described in our Terms of Use.
12. Force Majeure
Neither party shall be liable for failure to perform obligations due to events beyond reasonable control, including natural disasters, government restrictions, pandemics, strikes, or infrastructure failures. During force majeure events, Washrefine will work with clients to reschedule affected sessions or provide alternative delivery methods such as virtual training where feasible.
13. Changes to This Policy
We may update this Return Policy to reflect changes in our training products or legal requirements. The current version is always available at return.html on washrefine.world. Changes do not affect bookings confirmed before the policy update unless agreed otherwise in writing.
